Most closed events will need participants to register. Generally there are many ways to organize the registration, as there are many available electronic tools, and also different requirements.

Here are some ideas, sorted from most simple to most sophisticated:

Aspects to consider registration workflow

Email registration workflow

Registrations by email are the most simple version. Ideally you tell people which kind of information you need from them, and they send it to you in an informal way.

However, this might be user friendly for the guests, it’s a hell of extra work for you, especially in role balanced event formats, or events where people buy optional services, like workshops.

Why? You will need to have a final List in some format, like excel or google sheets, which acts as the single source of truth for you. Who has registered? Who has paid?

Simple forms registration workflow

Simple forms are special websites that either send structured emails or add submissions to a google sheet, excel online, or some form of database system.

This helps a lot with the further management, as you have potentially a single source of truth, at least for the incoming part.

Complex forms registration workflow

…are like simple forms, but they offer more help:

Form validation. For example: make sure that email addresses submitted are real email addresses.

Usually more complex forms also have more complex data storages.
